Dear
Vice President Yosh,
I greatly
appreciate you reaching out to me about this unique new form of technology. The
best definition I could give of generative AI is that it is a form of text that
is created by numerous algorithms, which are then able to process data. This
data creates answers for discussions, translates languages, generates new
business ideas, and almost anything else. One of the most well-known forms of
this AI is ChatGPT. ChatGPT has grown tremendously and is being used worldwide
to help various companies. I think if even more companies looked at the
benefits that could come from using it, those companies could be very
effective, even us.
A pro from using
ChatGPT is that it can be used to create new ideas and other concepts that a
human brain potentially couldn’t have thought of. This would give our
department a huge boost if we started doing something other companies couldn’t.
On the flip side, a con is the plagiarism issue that has been popping up. Some
people take full advantage of ChatGPT doing work for them and decide they don’t
have to do their own work. In a workplace, if those people were to be caught,
they are not only plagiarizing, but also are creating a sense of distrust among
their fellow employees. Another con is that when ChatGPT doesn’t know the
answer to something, it makes it up. Finishing with a positive, ChatGPT can
analyze data for you, which in a communication department is crucial because
being able to see more advanced data could lead to better customer
satisfaction.
My personal
opinion is that ChatGPT should be adopted into our operations. I think it can
be a huge advantage, as I have heard a lot of good things coming from ChatGPT,
with one of the most interesting things being it can code data for you (Sundar,
2023). This isn’t as important to us, but it is just one of the many things
this powerful technology can do. Another reason I feel we should start using
ChatGPT is because it can be used to generate answers to frequently asked
questions or even help out in chats with customer service (“Mastering Business
Communication with ChatGPT”, 2023). Sometimes people are needed for more
serious problems and with ChatGPT able to do these things, it would make our
department more efficient. All in all, I see more good than bad coming from
adopting ChatGPT into our operations.
Thank you,
Roger Rubinetti

Dear
Vice President Yosh,
Thank you for
the email. To my knowledge, Open Ai’s Chat GPT is a very well known and widely
used source for many companies. My understanding of Chat GPT and other open AI
tools is that it can help write a report, email, or just about anything you
would like it to write. In our companies case, the employees will use it for
writing emails and reports. There are certainly pros and cons of using this
technology. For example, a pro would be the ease and timeliness in which these
reports and emails can be put out, but a con would be how it is not personal
and the employees may miss crucial information because they are not fully
reading or writing. It is a great resource, but it may lead to workers becoming
lazy and only using the AI. In that case, work will be missed and things will
not get done. Open AI and Chat GPT need to be monitored to make sure everything
is correct. Chat GPT does not give every detail like the employee would. It is
a tool that can be utilized to help the employee see a base for the writing they
need to do but it is not a replacement. In my opinion, Open AI’s Chat GPT
should be used in the workplace with some rules set in place to ensure
everything runs smoothly. According to Valuecoders.com, OpenAI’s ability
to automate tasks goes beyond humans brain speed. It can handle complex tasks
like data analysis, report generation, and content creation. By automating
these tasks, businesses can significantly reduce human error. And according to
Talentadore.com, When used right, Chat GPT can reduce bias in the
workplace by giving unbiased information and analysis. These are a few very
good reasons as to why Chat GPT would be a great addition to the workplace. One
idea I have that may be tried is taking a poll for who would like the use of
Chat GPT and who would not. This way, the employees feel they have a choice in
this and they will have good ideas as to why it is good and why it is bad. Open
Ai Chat GPT is a tool that should be used in the workplace. There should be
rules and limitations to it, but it will definitely help improve the work of
the employees.
Best Regards,

Dear
Gail Yosh,
Thank you for
taking the time to read this message. I hope you are doing well. As part of our
potential exploration of its integration into Corporate Communications, I have
dived into the world of generative artificial intelligence (AI), focusing on
OpenAI’s ChatGPT.
Using the robust
GPT-3.5 architecture, as well as OpenAI’s ChatGPT, generative AI, exemplified
by OpenAI’s ChatGPT and grounded in deep learning principles, can effectively
produce human-like text with the help of generative AI (Norori et al., 2021). A
key feature of this software is its ability to offer a wide range of predictive
services, including text completion, conversation, and content creation.
There are
several advantages to using ChatGPT, including enhanced efficiency in the
creation of content, as well as the ability to save time in the writing of
routine communications due to the use of automation. Due to the 24/7
availability of the tool, it facilitates instant responses, fostering real-time
engagement, and contributing to better communication overall by facilitating
quick responses. Further, ChatGPT ensures that the brand and communication
guidelines are seamlessly integrated with the messaging and ensures consistent
messaging across all channels.
While exploring
the possibility of integrating this technology, it is important to keep in mind
that there are challenges that can arise. Nevertheless, there is a conceivable
risk of misinterpretation, where generative AI may struggle with context, as a result
resulting in miscommunications or inaccuracies in the interpretation. Despite
the concern that a potential loss of human touch may occur as a result of
automated responses, it is important to recognize that automated responses
might lack the empathy and nuanced understanding inherent to human
communication. There is also a legitimate concern for the privacy and security
of sensitive information when it is handled by artificial intelligence (Norori
et al., 2021).
It is therefore
recommended that ChatGPT be adopted cautiously with regard to specific
operational areas in light of these considerations. This tool has the potential
to make a significant impact on the efficiency of the organization and maintain
a high level of consistency, but it must be used with a great deal of prudence.
In matters requiring empathy and a deep understanding of context, the human
touch is especially crucial. As such, this is particularly crucial in matters
that require empathy and a profound understanding of context.
Norori et al.
(2021) demonstrate a positive impact of ChatGPT on content generation and
communication efficiency, which reinforces our interest in studying the
potential benefits of ChatGPT.
Thank you,

Dear
classmates,
Being able to comprehend and communicate with us as a member of the group
makes ChatGPT more than just a typical robot. It has access to a vast knowledge
base because it was trained on a ton of online texts. It’s the talkative
companion we didn’t realize we needed—it’s more than simply a chatbot. ChatGPT
is exercising its artificial intelligence (AI) capabilities when you ask it
questions and it responds to you with noises and voices that are authentic.
Pros: With its multilingual communication
capabilities, ChatGPT is an adaptable tool that can be used by a wide range of
users. Because of its rapid learning speed, it can adjust and get better over
time. Additionally, by managing repetitive activities, it lessens the workload
for humans while boosting output. Brand identification is strengthened by
ChatGPT’s assurance of a unified brand voice across many platforms. It can
adapt to multiple time zones and provide prompt answers to queries since it is
available around-the-clock.
Cons: The inability to obtain real-time
information, the risk of over-reliance, privacy issues, bias potential, and
difficulty in interpreting context during lengthy talks are only a few of
ChatGPT’s drawbacks. For long talks, it could have trouble understanding
context, which could result in answers that don’t follow the current topic of
conversation. Furthermore, misinterpreting or responding inappropriately might
arise from depending too much on ChatGPT without human monitoring. The handling
of sensitive data in the absence of strong security measures raises privacy
concerns; in order to prevent response biases, training data must be carefully
selected.
Artificial intelligence (AI) technology called ChatGPT has the
ability to completely transform the workplace by offering a wide range of
virtual assistants that can optimize processes and relieve staff members of
tedious job. Additionally, this technology may act as a covert weapon by giving
clients dependable, regular responses—think of it as a superhero in customer
service, ready to help in any circumstance.
The book suggests using ChatGPT with caution, noting that although it can
improve our performance, we need to be savvy wizards and watch out for any
bumps in order to make sure we are taking full advantage of the technology and
all of its potential advantages.
In the end, the choice to use ChatGPT is about finding a middle ground
between all of its benefits and any drawbacks. Organizations may effectively
utilize ChatGPT in their operations by utilizing its strengths and managing its
limits. A effective integration approach must include constant observation,
user input, and improvement.
Sincerely,
Nashla Cepeda
